The Challenge
The Company covers a multi-state region, and within each state various vendor partners support different parts of the title work process. For years, the company allowed each agency office to run their operations independently. But with growth came complexity – and the decision was made to centralize key functions: title abstract/search, examination and report generation.
The various agencies’ Title Production Software (TPS), while serviceable for basic file management, was inadequate for workflow oversight, especially across state lines and multiple vendor relationships. Tracking order progress, coordinating between Examiners (internal and external) and Typists, and maintaining visibility into what was due – and when -had become overwhelming.
They needed a solution that could organize and accelerate title production, while maintaining clear roles and reducing communications breakdowns.
The Solution
By implementing RDS, the agency gained a purpose-built workflow platform designed for how title work actually happens.
Orders could now be assigned based on role, so abstractors, examiners, and typists all had visibility only into what applied to them—reducing confusion and distractions. Each role had clear tasks, deadlines, and the information they needed to complete their part efficiently. Communications and documents are centralized and kept at the order level.
The centralized title abstract service team could now track orders from intake to delivery, regardless of which state or vendor was involved. Automated task transitions meant once the abstract was uploaded, the Examiner was immediately notified and could get to work—no more handoffs lost in email threads. When exam was done, the Typist had what they needed to generate the report, and leadership could view progress at every step.
No more toggling between systems or trying to pull together status updates from multiple offices—everything lived inside RDS.
